Virtual receptionist pricing is hard to compare because each vendor sells a different unit: minutes, calls, or a flat monthly fee. This guide puts the published prices side by side for Ruby and Smith.ai, a salary-based estimate for an in-house receptionist, and Ringlyn's own AI receptionist pricing, then works through one example with the same call volume for each.

A note on the numbers: competitor prices below come from each vendor's public pricing page, checked in October 2026. Vendors change plans often, so treat every figure as a snapshot and confirm it on the vendor's own page before you decide. Where a page did not state a figure (such as overage rates for Ruby), we leave it out rather than guess.

How Virtual Receptionist Pricing Works

Three billing units cover almost every service. Per-minute plans bundle a block of minutes each month and charge more once you exceed it. Per-call plans bundle a number of calls. Flat or usage-based AI plans charge a monthly fee plus a low per-minute rate. The cheapest headline price is rarely the cheapest bill: the real cost depends on how many calls you get, how long they run, and what happens when you go over your plan.

  • Minutes: a longer call costs more, so a business with complex calls pays more per call.
  • Calls: a short call and a long call cost the same, which favours businesses with long conversations.
  • Overage: the rate after your bundle is used. Always ask for it in writing.
  • Extras: after-hours coverage, bilingual support, and extra features can change the price, so check what each plan includes.

How Much Does Ruby Answering Service Cost?

Per Ruby's public pricing page (ruby.com/pricing, checked October 2026), the virtual receptionist plans are billed monthly and sized by included minutes. The page did not list an overage per-minute rate, so ask Ruby for it before you sign.

Ruby also lists separate live chat plans and bundles that combine a receptionist plan with chat. If you only need phone coverage, the tiers above are the relevant ones.

Smith.ai Pricing

Per Smith.ai's public pricing page (smith.ai/pricing, checked October 2026), plans are sized by the number of calls rather than minutes. The page shows one set of plans across its AI-first, hybrid and human-first options without saying which tab each belongs to, so confirm which service level a quote covers.

What an In-House Receptionist Costs

The US Bureau of Labor Statistics Occupational Outlook Handbook lists the median pay for receptionists at $18.27 per hour, or $38,010 per year (May 2025 data, bls.gov/ooh/office-and-administrative-support/receptionists.htm). Spread across twelve months that is about $3,170 per month in wages, using our own arithmetic.

That is wages only. Payroll taxes, benefits, equipment, training, holiday and sick cover, and management time are extra and vary widely by employer and location, so we do not put a number on them here. A single in-house receptionist also covers one shift. Evenings, weekends and lunch breaks are uncovered unless you hire more people.

What an AI Receptionist Costs: Ringlyn Pricing

Ringlyn prices by plan plus usage. Starter is $49 per month with 50 minutes included and $0.2 per minute, Growth is $99 per month with 120 minutes included and $0.18 per minute, and Professional is $199 per month with 300 minutes included and $0.15 per minute. A phone number is $7 per month on Starter and $5 per month on Growth and Professional. The WhiteLabel tier is custom-priced for agencies and enterprises. See the Ringlyn pricing page for the current plans.

A Worked Cost-Per-Call Example

Illustrative arithmetic only, not a quote. Assume a small business gets 80 calls a month and the average call lasts 2.5 minutes, so about 200 minutes in total. We use the published prices above and assume each plan is used as listed.

OptionHow we calculated itMonthly costApprox. cost per call
Ruby, small business tierPlan covers 200 minutes, so the full plan price$720$9.00
Smith.ai BasicPlan covers 90 calls, so the full plan price for 80 calls$810$10.13
Ringlyn Growth$99 plan with 120 minutes included, plus 80 extra minutes at $0.18, plus a $5 number$118.40$1.48
In-house receptionistMedian wages only, one personAbout $3,170About $39.60 at this low volume

Illustrative example: 80 calls, 2.5 minutes each. The Ringlyn line assumes the listed per-minute rate applies to minutes beyond those included. Taxes and any add-ons are not included.

The in-house figure looks high because one receptionist can handle far more than 80 calls a month and also does other work. It is shown to illustrate that a salaried hire only pays off when the volume or the in-person duties justify it. Your own call volume and call length will change every number in this table, so redo the arithmetic with your figures.

How to Choose, and What to Verify Before You Sign

  1. Count your calls and average minutes for a typical month before comparing any plans.
  2. Ask each vendor for the overage rate in writing, and what counts as a billable minute or call.
  3. Check what is included: after-hours coverage, languages, calendar booking and transfers.
  4. Run a short trial on real calls, and listen to how each option handles a difficult caller.
  5. Check that the vendor handles any data rules that apply to you, such as call recording consent or health information, and ask for their documentation.
  6. Re-check the vendor pricing page on the day you decide. Prices and plans change.

Live virtual receptionist services bill by the minute or by the call and typically land in the hundreds of dollars per month for a small business. AI receptionists such as Ringlyn start at $49 per month plus a per-minute rate. An in-house receptionist earns a median of about $38,010 per year in wages before taxes and benefits. Your call volume decides which is cheapest.

An AI receptionist answers calls automatically at any hour and can handle many calls at once. A remote receptionist is a person at a service who answers on your behalf, billed by minutes or calls. An in-person receptionist works at your site, can greet visitors, and is paid a salary. Many businesses combine AI for first answer with a person for complex calls.

The US Bureau of Labor Statistics lists median receptionist pay at $18.27 per hour or $38,010 per year as of May 2025. That excludes payroll taxes, benefits, equipment, training and cover for time off, which vary by employer.

Ringlyn's Starter plan is $49 per month with 50 minutes included, Growth is $99 per month with 120 minutes included, and Professional is $199 per month with 300 minutes included, with per-minute rates of $0.2, $0.18 and $0.15 respectively. The WhiteLabel tier is custom-priced. See the pricing page for current details.

Often, for small and mid-volume businesses, because you pay for usage rather than a full salary. At high call volumes or when you need someone on site, a hire may make sense. Work through your own call volume using the worked example in this guide.

It can take over answering, booking, message-taking and routing, but it does not greet visitors or handle every sensitive call. Most teams configure it to hand off to a person on request or when a call needs judgement.
